Need to Know
GENERAL TERMS
1- The General Terms are an integral part of the tour program and cannot be considered separately from it.
2- If sufficient participation for the trip is not achieved; the Agency may cancel the tour up to 21 days prior to the departure date. In such a case, the cancellation information will be communicated to the guest. The full tour fee will be refunded to the guest. Refunds for additional services purchased outside the tour; including the domestic connecting flight purchased from the Agency will also be refunded. If a visa service or travel health insurance package has been used to apply for a visa on behalf of the guest, these services cannot be refunded once used. If no visa application has been made, visas and travel health insurance will be canceled and the fee will be refunded. If the guest has purchased the internal connection flight from a provider independent of the Agency, the Agency cannot request any refund if the tour is canceled by the Agency. The guest explicitly agrees to the material and moral losses that may arise from the tour cancellation, and the Agency cannot be held responsible.
3- If sufficient participation for the trip is not achieved, the Agency reserves the right, in good faith, to not cancel the tour. In this case, the tour will be arranged individually for the guest, and the guide services included in the package will only cover round-trip international transfers.
Cancellation and Changes
4- Tickets for transportation are issued at the time of reservation. Cancellations made more than 30 days before the tour departure date will be subject to cancellation and change fees, and the cost of these flight tickets, which are non-refundable, will be charged as penalties.
5- Guests may cancel without penalty up to 30 days before the tour departure date, provided they notify the Agency in writing. Payments made for tickets purchased from the airline or commitments made to the airline outside the Agency are excluded. If the cancellation occurs less than 31 days before the start date, the guest may cancel by paying a penalty equal to 50% of the remaining tour fee; if less than 15 days, the full tour fee will be charged as a penalty. When requesting a cancellation, the conditions for the cancellation and refund of additional services like internal connection flights, visa services, and travel health insurance may vary depending on the timing, so prior inquiry is necessary. The Agency is not responsible for refunds on additional services.
Guidance Services and Extra Tours
6- The days and hours of tours specified in the program may be changed by the guide depending on the open/closed status of museums and sites and weather conditions. During tours, different guides may accompany the guests.
7- Panorama city tours included in the package are designed to introduce the cities generally, conducted through narration from inside the vehicle, and do not include museum or site entry. These tours, including other tours on the program, may be altered, postponed, or canceled if local authorities do not permit access or due to official closures, weather conditions, or other unavoidable circumstances. The Agency is not responsible for non-performance of these tours due to such reasons. Some tours may be conducted by public transport or on foot where access roads or vehicle entry is restricted.
8- The guide may modify the days of city tours and/or additional tours depending on the number of participants, weather conditions, or site closures. This also applies to schedule changes due to flight adjustments.
9- For tours involving speedboats, guests should avoid heavy meals and excessive water intake immediately before boarding. Guests with stomach, back, or neck problems, as well as pregnant guests, must inform their guides.
10- Services included in the price, such as specific tours or meals, are non-refundable if not participated in.
Flights Information
11- The Agency acts as an intermediary between the passenger and the airline; in case of disputes, Turkish legislation along with The Hague Protocol and The Warsaw Convention will apply.
12- In scheduled and charter flights, delays or schedule changes may occur. The Agency is obliged to inform as soon as possible. Guests accept the risk of schedule changes or cancellations when purchasing the package.
13- Children aged 0-2 will only pay the airport tax.
14- According to airline rules, if the purchased round-trip ticket’s outbound flight is not used, the return flight may be canceled by the airline.
15- Check-in and boarding procedures for participants on flights are personal responsibilities, and it is mandatory for guests to complete these procedures at the airport counters or online via the airline’s website before the flight.
16- Last-minute delays or gate changes are announced at airports and shown on information screens. Guests are responsible for monitoring these.
17- Guests who fail to arrive at the airport on time or do not complete check-in and boarding procedures cannot participate in the flight, and the Agency is not responsible for this. Expenses for rebooking or transfers caused by missed flights are borne by the guests.
18- The general luggage weight limit for flights departing from Turkey is 20 kg, but this may vary depending on the airline and country. Internal flights within the destination country may have a limit of 15 kg. Overweight baggage fees are determined by airlines and are not under the Agency’s responsibility.
19- Guests wishing to upgrade their ticket with miles (to business or first class) can do so after ticket issuance, subject to airline availability; however, mileage guarantees are not provided for all flights. Please check if the tickets are eligible for upgrade.
20- Some airlines may charge extra for onboard meals, beverages, or online check-in services.
Other Matters
21- The Agency will not be responsible for any changes or cancellations directly made by guests with the hotel. In such cases, cancellation policies of the hotel will apply.
22- If the hotel(s) categories are provided without specific names or as options for the same destination, the Agency will inform the guest 48 hours before departure.
23- During special periods such as fairs, congresses, concerts, events, or sports tournaments, hotels may be located further from the specified locations or kilometers. In such cases, the Agency will inform guests 15 days before departure.
24- During registration at the time of booking the tour, guests are responsible for entering accurate passport name, date of birth, and passport number into the system. Tickets are issued based on this information. Cancellations or changes due to incorrect information will incur penalties borne by the guest.
25- To use your mobile phones abroad, confirm before leaving Turkey whether your phone is unlocked for international use by contacting your service provider.
26- Hotel check-in time is 15:00, and check-out time is 12:00.
27- The Agency will communicate guest requests regarding the room (high floor, near common areas, smoking/non-smoking, bed type) to the hotel. While efforts are made to fulfill these preferences, they depend on availability and cannot be guaranteed.
28- Breakfast at hotels generally consists of a continental breakfast with limited choices such as butter, jam, bread, and tea or coffee, and may be served in a dedicated room.
29- Sometimes, double rooms may have two separate beds that can be joined; many European hotels offer such options.
30- Policies regarding children and extra beds vary by hotel and room type.
31- Extra beds and cribs are provided upon request, subject to availability and hotel approval.
32- The capacity for additional beds or cribs in a room is limited to one.
33- In triple rooms, an additional bed is usually smaller than standard beds and can be a foldable or coach bed. Guests accept the possibility of limited space and bed types in such rooms, especially for reservations involving children or extra beds.
34- If the number of adults and children reported during booking is incorrect, hotels may charge extra fees. The responsibility for false declarations lies with the guest, and identity verification for children may be requested.
35- In reservations with 2 adults and 1 child, an extra bed for the child may not be available. Child rates apply only when the child stays with two adults; discounts are valid only for children within the designated age group sharing a room with two adults.
36- Currency fluctuations within the day are reflected in prices in TL. Payments are based on current exchange rates at the time of payment. Additional services such as minibar, iron, etc., are extra and payable directly at the hotel during stay.
37- Some countries have different local, tourism, or municipal taxes which are collected by the hotel at entry or exit.
38- Distance and travel times provided in the program are map-based and may be affected by traffic, weather, terrain, roadworks, or other conditions, causing delays.
39- The Agency may, in urgent or necessary circumstances, modify the order of cities or the main airline without altering the overall program content.
40- Participants are responsible for their personal belongings, luggage, passports, and IDs. The Agency is not responsible for lost, forgotten, or stolen items. Costs incurred for recovery or delivery of belongings are borne by the owner.
41- Participants must carry their travel health insurance policies, medications, and reports if necessary.
42- During hotel check-in, official ID, passport, and credit card or cash deposit may be requested by the hotel. Refund of deposits at check-out is between the guest and the hotel; the Agency has no involvement.
Visa and Passport
1- Guests’ passports must be valid for at least 6 months after the end of the trip.
2- To obtain entry/exit stamps at border crossings, the passport must have at least 2 blank pages.
3- Having a visa or being visa-exempt for the countries visited does not guarantee entry; border control officers may refuse entry or exit. The Agency is not responsible for such decisions; liability rests with the passenger.
4- Guests who are non-Turkish citizens or hold dual citizenship with another country must consult the relevant consulates about visa procedures for each country they will visit. Failure to do so is the guest’s responsibility.
5- Passports that are torn, worn, wet, or otherwise damaged should be renewed to avoid issues at border crossings. Failure to do so is the guest’s responsibility.
6- Minors under 18 traveling alone or with only one parent may be asked to present a notarized letter of consent from the absent parent(s). Guests are advised to be aware of this requirement.
